Cancellation & Refund Policy

Last updated: 21 October 2026

In short
  • Your deposit secures your date and is non-refundable.
  • Cancel before the balance due date: you lose the deposit only, and nothing more is owed.
  • Cancel on or after the balance due date: the full hire price is payable and is not refunded.
  • If the supplier cancels, you get a full refund of everything you've paid.

This policy applies to every booking made through Event Car Hire and forms part of our Booking Terms. Your booking page and confirmation show your deposit, your balance and your balance due date.

If you cancel

You can cancel at any time. Please tell the supplier in writing (by email), using the details in your booking confirmation, and copy us at info@eventcarhire.co.uk. Keep their reply as your proof of cancellation.

  • The deposit is non-refundable. It secures your date, and the supplier turns away other bookings for it.
  • Before the balance due date: you lose the deposit only. If you paid more than the deposit, the amount above the deposit is refunded, and you won't owe the balance.
  • On or after the balance due date: the full hire price is payable, and any amount already paid is not refunded. This includes bookings made within the balance period, where the full price was paid at booking.
  • If you don't pay the balance by the due date, the supplier may treat the booking as cancelled by you.

Cancellation charges must be fair. Where you cancel a confirmed booking, the amount the supplier keeps or charges must be a reasonable amount reflecting the losses they suffer directly because you cancelled. This may include costs they've already spent on your booking and a reasonable estimate of the profit they lose, taking account of whether they can reasonably get other work for that date. Any cancellation charge is subject to consumer protection law, and nothing in this policy affects your legal rights.

If the supplier cancels

If the supplier can't provide your booking for any reason, including breakdown or unsafe weather, they'll contact you as soon as possible and:

  • offer a vehicle of a similar standard, if one is available and you'd like it, or
  • refund everything you've paid in full.

The choice is yours. If something goes wrong during the hire itself, see section 7 of the Booking Terms.

Changing your booking

  • Ask the supplier for changes in writing. Changes to times, addresses or journeys may change the price.
  • Changing the date or the vehicle counts as a cancellation, unless the supplier agrees to move your booking and the vehicle is available.
  • If the supplier can't accept a change you need, and you then cancel, the rules under "If you cancel" apply.

Events beyond anyone's control

If your event can't take place because of something outside both your and the supplier's control, such as a government ban on events, the supplier will offer to move your booking to a new date where possible, or refund what you've paid, less any reasonable costs they've already spent on your booking that they can't recover.

How refunds are paid

Your payment went directly to the supplier, so refunds are made by the supplier, normally to the card you paid with, within 7 days of the cancellation being agreed. If you have any trouble getting a refund you're owed, contact us and we'll help; see Complaints.
