Chauffeur-driven event cars

Booking Terms

Last updated: 21 October 2026

In short
  • Event Car Hire is an online marketplace. Your hire contract is with the supplier who provides the vehicle; we're not part of it.
  • The supplier sets the price and decides whether to accept your booking request before you can pay.
  • You pay the deposit (or the full price) by card when you book, and it goes straight to the supplier.
  • The balance is due by the date shown on your booking and is paid to the supplier.
  • The deposit is non-refundable. See the Cancellation & Refund Policy for the full rules.
  • Before you pay, you'll see the supplier's own Terms of Hire for your vehicle, which you agree to with these terms.

1. About these terms

These terms apply when you request quotes for and book a chauffeur-driven vehicle through eventcarhire.co.uk.

"We", "us" and "Event Car Hire" means Premier Carriage Wedding Cars Ltd, trading as Event Car Hire (company no. 04319797, registered office 15 Rockstone Place, Southampton, Hampshire SO15 2EP).

"The supplier" means the independent business or vehicle owner who provides the vehicle and chauffeur. Suppliers are not part of Event Car Hire; they operate under their own name.

"You" means the person who makes the booking, who must be 18 or over. You're responsible for making sure everyone travelling knows about these terms.

The supplier's Terms of Hire. Each supplier has its own short Terms of Hire for each vehicle, shown on the booking page before you pay. They set out the details for your booking, such as the deposit and balance, how to pay the balance, extra time, passengers and seat belts, and rules in the vehicle. You agree to them together with these terms. These terms and our Cancellation & Refund Policy apply to every booking whatever a supplier's Terms of Hire say.

When you book, you enter into a contract directly with the supplier on these terms and their Terms of Hire. Event Car Hire provides the online marketplace and technology through which the booking is made, and is not a party to that contract. These terms should be read with our Cancellation & Refund Policy, Website Terms of Use and Privacy Policy.

2. How booking works

  1. You request a quote through Event Car Hire, giving your event type, date, start time, length of hire and every pick-up and drop-off postcode. Your request is sent to the independent supplier of the vehicle. Please make sure these details are correct, as they are what the supplier prices.
  2. The supplier decides whether to reply and sets the price of their quote. The price is set by the supplier, not by us.
  3. To go ahead, you send a booking request to the supplier through Event Car Hire.
  4. The supplier reviews your booking request and independently decides whether to accept or decline it.
  5. If the supplier accepts, we automatically let you know and give you access to the supplier's payment facility.
  6. You pay the deposit or full amount directly to the supplier through their own connected Stripe account.
  7. Your booking is confirmed with the supplier once your payment has gone through, on these terms and the supplier's Terms of Hire.
  8. We send you an automatic payment notification. The supplier separately sends you their own booking confirmation, and remains responsible for providing the service.

Every hire contract is made directly between you and the supplier you choose. Event Car Hire provides the online technology for quote requests and booking requests, and connects you to the supplier's own Stripe account to pay.

If a quote was clearly wrong because of an obvious error, the supplier may correct it before the hire; you can then accept the corrected price or cancel and receive a full refund of everything you've paid.

3. Prices and payments

  • Deposit or full payment. Each vehicle has its own deposit and balance terms, shown on the booking page before you pay. If your hire is within the balance period, the full price is due when you book.
  • Payments go to the supplier. Card payments are processed securely by Stripe and paid directly into the supplier's account. We never see or store your full card details.
  • Balance. The balance must be paid to the supplier by the balance due date shown on your booking. The supplier will tell you how to pay it. If the balance isn't paid on time, the supplier may treat the booking as cancelled by you (see the Cancellation & Refund Policy).
  • Extras. Anything not included in your quote, such as extra time, extra journeys or changes to your route, may cost more. The supplier will tell you the cost before agreeing it.
  • We don't charge you a booking fee. We're paid a commission by the supplier.

4. Your journey details and changes

  • Check your booking confirmation carefully. Anything not included may not be provided.
  • Ask for any changes, such as times, addresses or extra stops, in writing to the supplier, and keep their reply. A change only applies once the supplier has confirmed it.
  • Tell the supplier when you book about anything that could affect access, such as narrow or unmade roads, private roads, security gates or permits. The driver may decide a route is unsuitable for the vehicle on the day.
  • We recommend you contact the supplier a week or two before your event to run through the plan.
  • Extending the hire on the day can't be guaranteed and is at the supplier's discretion and charges.

5. On the day

  • Passengers. The vehicle can't carry more passengers than its seating capacity. Seat belts must be worn where fitted. Some classic vehicles are legally exempt from having seat belts; check the vehicle's details before booking.
  • Children. Tell the supplier if anyone under 14 is travelling. You must provide any child car seats required by law. Under-18s must be accompanied by an adult unless the supplier agrees otherwise.
  • Behaviour. The driver may refuse to carry anyone who is abusive, or whose behaviour or condition puts people or the vehicle at risk. Smoking (including e-cigarettes) is not allowed, and food and drink are only allowed if the supplier agrees.
  • Damage. You're responsible for damage to the vehicle caused by you or your passengers, including cleaning if needed.
  • Belongings. Please take everything with you. The supplier isn't responsible for items left in the vehicle.
  • Delays. Drivers will do their best to keep to time, but can't be held responsible for delays caused by traffic, diversions or obstructions outside their control.

6. Cancellations

The deposit is non-refundable. If you cancel before the balance due date you lose the deposit only; from the balance due date the full hire price is payable. Any amount the supplier keeps must reflect the losses they suffer because you cancelled, and is subject to consumer protection law. If the supplier cancels, you get a full refund. Full details are in our Cancellation & Refund Policy, which forms part of these terms.

Bookings for car hire on a specific date are not covered by the 14-day cancellation period that applies to some online purchases.

7. If something goes wrong

  • Breakdown or unavailability before the day. If the vehicle becomes unavailable, the supplier will contact you as soon as possible and offer a vehicle of a similar standard if you'd like one, or a full refund.
  • On the day. If a substitute vehicle is needed at short notice, the supplier will provide the closest match they can. If you decline a substitute on arrival, you'll get a full refund for the booked vehicle.
  • Breakdown during the hire. The supplier will refund a fair proportion of the price, taking account of the journeys already completed, up to the full price paid.
  • Weather and safety. The supplier may cancel or change the vehicle if severe weather makes it unsafe to drive. Passenger safety always comes first.

Refunds are made by the supplier, as they received your payment. We'll help if you have any difficulty; see Complaints.

8. Our role and liability

  • Event Car Hire operates an online marketplace connecting customers with independent vehicle suppliers.
  • We provide the technology through which customers request quotes, suppliers send prices, customers send booking requests and suppliers accept or decline them.
  • The hire contract is made directly between you and the supplier you choose.
  • We don't supply vehicles or drivers, and we're not a party to the hire contract.
  • The supplier remains responsible for providing the hire, holding all necessary licences and insurance, managing your arrangements, any refunds, and meeting their obligations under the contract.
  • We remain responsible for the services we provide directly to you as a user of our website.

We're responsible for providing our website and its quote and booking-request service with reasonable care and skill. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law, and your statutory rights are not affected.

9. General

  • The version of these terms in place when you book applies to your booking. We may update these terms for future bookings.
  • If any part of these terms can't be enforced, the rest still applies.
  • These terms are governed by the law of England and Wales. If you live elsewhere in the UK, you can also bring proceedings in your local courts.
